Waitlist Procedures

Wait listing Procedures:
1. Open Argos
2. Select Report
a. Waiting List
b. Alerts
c. Waiting List Alert
d. Report with Seats Available
3. Run Report
4. Select Term
5. Click on Floppy Disk Icon to Save
6. Rename File and Save as Microsoft Excel Workbook
7. Click OK when prompted
8. Register students for each section in order of sequence as listed. Only register as many students as there are seats available. If the section is a linked course, there must be a seat available in both the lecture and the lab to be moved from the waitlist into the sections. “Can’t have a lab without a lecture or a lecture without a lab if they’re linked courses”
a. Copy M Number
b. Input M Number into SFAREGS in Banner for appropriate term
c. Page Down twice (May have to override hold if advisor hold or SL hold. Chances are, it was signed off on in order to be added to waitlist)
d. Find waitlisted section CRN
e. Change Status to “RE”
f. Save
g. You may come across some errors: Hold the student’s seat for as long as indicated.
i. If there is a time conflict, email student to notify about the time conflict and include the course which is interfering. Allow student 48 hours to make the change. If no change is made after 48 hours, DD and remove student from the section.
ii. If there is a prerequisite error, check OnBase for an override or SFASRPO. If no override, email student to notify about the prerequisite error and advise student to contact an advisor to either advise student on the course that needs to be completed, or to get an override. Allow student 72 hours to make the change or get an override. If no change is made after 72 hours, DD and remove student from the section.
iii. If the student would exceed the maximum hours allowed by being placed from the waitlist into the section, notify the student that he/she would exceed the maximum hours allowed and Jennifer DeWeerth would need to override the maximum hours allowed in order for him/her to be moved off of the waitlist and into the section. Provide student with Jennifer DeWeerth’s contact information and allow student 72 hours to make the change. If the student notifies you of an appointment outside the 72 hour limitation, hold the seat for him/her until a decision is made. If no change is made after 72 hours, DD and remove student from the section.
h. Continue through each waitlisted section until you have reached the end of the report
i. Once all eligible students have been moved from the waitlist into the requested sections, BCC them all on an email to notify them that they have been moved.
j. Save report and exit

Time Conflict:
Dear Student,
A spot has opened up on the waitlist for the CI 112 course that you put yourself on the waitlist for, however; I am unable to add you to the class at this time due to a time conflict between CI 112 and CI 110. Please either make adjustments to your schedule to fit CI 112 or remove yourself from the waitlist. I will save your spot for 48 hours to give you time to make adjustments, but after 48 hours, I will remove you from the waitlist if no changes are made. Please feel free to contact me with any questions. Have a great day.
Prerequisite Error:
Dear Student,
A spot has opened up on the waitlist for the MA 115 course that you put yourself on the waitlist for, however; I am unable to add you to the class at this time due to a prerequisite error for MA 115. Please speak to an advisor to schedule the appropriate course or get an override to be registered for MA 115. I will save your spot for 72 hours to give you time to make adjustments, but after 48 hours, I will remove you from the waitlist if no changes are made. Maximum Hours Exceeded:
Dear Student,
A spot has opened up on the waitlist for the EN 150 course that you put yourself on the waitlist for, however; I am unable to add you to the course at this time because it would exceed the maximum hours allowed for you to take. In order to take more than the allowed hours, you would need to get an override signature from Jennifer DeWeerth in our advisement center (315-731-5710). It is not a guarantee that she will override this but she is who you would want to speak to if you want to be enrolled in EN 150 and take over the 21.5 allowed hours. I will hold the spot for you for 72 hours before removing you from the course. After the 72 hours, I will automatically remove you from the waitlist. If for some reason you schedule an appointment that is outside of the 72 hour frame and need more time, let me know immediately. Please let me know if you have any questions. Have a great day.
