Verifications

VERIFICATIONS

There are various reasons why a student would need a verification done. Most are to verify degree’s awarded. Other reasons could be good driver discount, housing, social security, etc.

A release from the student should be obtained for any verification. The only information that can be released WITHOUT a release is directory information and then we are not obligated to release that information: Directory information is:
This generally includes a student's name, address, telephone number, date and place of birth, participation in officially recognized sports and activities, weight and heights of athletes, dates of attendance, degrees and awards received, most recent previous institution attended and other similar information.

Housing Verifications

1- Make sure a release is provided.
2- Search for correct student, verify information (SSN, DOB, name) provided with information in SPAIDEN
3- Verify enrolled for current semester-SFAREGS
4- Provide correct dates of attendance

Good Driver Discount

1- Make sure a release is provided.
2- Search for correct student, verify information (SSN, DOB, name) provided with information in SPAIDEN
3- Verify enrolled for current semester-SFAREGS
4- Provide correct dates of attendance, usually for current semester.
5- Check SHATERM to make sure GPA is 3.0 or higher and in good standing.

Verifications through National Student Clearinghouse (NSCH)

Degree verifications should be done through degree verify.org. If NSCH is unable to match records with our system, they will send an email notification to Lisa or Janet to make them aware a verification needs to be done. When Degree verifications are processed through NSCH, same steps would apply.

2- Search for correct student, verify information provided with information in SPAIDEN
3- Verify enrolled for current semester-SFAREGS
4- Check SHADEGRE- for degrees awarded with type of degree and curriculum
5- Check SHACRSE- to provide correct dates of attendance, usually for current semester.
6- If it is a student that has attended before banner prior to 1992, you must look for the record in the paper records.

In School Deferments

These are also processed through NSCH.
· Usually at the beginning of the semester, students will provide a signed in school deferment request from their lending institution.
· They must specify WHERE to send deferment and WHAT SEMESTER is being verified. Otherwise current semester will be assumed.
· Make copies to keep for our records
· Collect the forms and when Kate sends her first tape beginning of semester, send forms to:

Include Semester, school name and address, and school code on a sticky note. NSCH will fill out forms accordingly.

DO NOT:
· Staple, clip notes to deferment forms.
· Send deferments via certified mail, Regular mail is fine.
· Students to send forms directly.


Student Verification Letters

On occasion a student will stop by the office for a verification letter stating they are full or part time.

1. Check in SFAREGS to see how many credit hours student is taking.
12+ credits is considered full time
6 – 11 credits is part time
Less than 6 credit hours is less than part time (student not eligible for deferment)
2. Access the STUDENT LETTER SHORTCUT icon on the desktop (if do not have icon on desktop it can be found in computer, M drive, adminaps
3. Enter student name, FT/PT status, enrolled or pre-enrolled (a student is not considered enrolled until charges are confirmed) Semester and the year.
4. Click first save
5. Put letter head in the printer-face down logo towards you, click print second
6. Make sure the SEAL is affixed on the letter over the Registrar’s signature.
